Join our team in the Management Department! As the administrative right-hand man, you will play a central role in the smooth running of the HPSC. This is the job for you if you enjoy multi-skilling, human contact and juggling administrative rigour with a warm welcome.
Reporting to the Management Department, your tasks will revolve around four major pillars:
1. Administrative & HR Management (Practitioners)
- Dissemination of on-call information to practitioners and partners.
- Management of contracts, signatures and administrative support during their integration.
- Rigorous maintenance of the HPSC's internal and external directory.
2. Secretariat & Internal Communications
- Reception of visitors on the 3rd floor and occasional assistance at the general reception desk.
- Complete mail management (sorting, franking) and updating of compulsory notices.
- Writing notes, managing diaries and communicating menus to departments and patients.
3. Patient Records Management & Vigilance
- Preparation and dispatch of files in accordance with regulatory standards.
- Administrative follow-up, archiving and traceability, particularly for immunovigilance.
- Handling incoming calls and making appointments for consultations.
4. Accounting support
- Pre-allocation of invoices and expenses by cost centre.
Profile required
Your training & experience
- You have a Bac to Bac+2 in secretarial work (SAMS, BTS SAM, Bac Pro AGOrA).
- Significant experience in medical or administrative secretarial work may compensate for the lack of a specific diploma.
Your technical skills
- Essential knowledge of the Office pack (Word, Excel, Outlook).
- In-depth knowledge of confidentiality (Medical confidentiality / RGPD).
- Ability to perform a simple accounting breakdown.
